Forwarding Emails to Your Notestream Inbox: A 5-Minute Setup

The forwarded email inbox is one of three ways to get a thought into Notestream. If you spend part of your day in email, it's the path of least resistance: you forward, the classifier reads it, you keep moving.

Why Email Is Worth Capturing From

Email is where a lot of real work lives, even for people who prefer async tools. A partner sends a feature request you want to prototype. A customer replies with a bug you need to fix. You email yourself a product idea at 11 p.m. because it was that kind of night.

Each forwarded email becomes one capture. Notestream's classifier reads the content and places it:

  • A task if the email describes something you need to do
  • A reference note if it contains information you'll want later
  • A sub-task if it clearly belongs under a project already in Notestream
  • A reminder if there is a date or deadline in the message

Classification happens at the moment the email arrives, not as a batch at the end of the day. By the time you open Notestream for your next focused session, the forwarded emails are already sorted.

What to Forward (and What to Skip)

The useful mental model is: forward an email when reading it created a thought you want to act on or save.

Good candidates:

  • Feature requests from customers. The customer said something specific. You want to prototype it. Forward the email and it becomes a task: "Build the CSV export flow the customer described."
  • Bug reports. Forward the thread. The classifier reads "it crashes when I click export" and creates a task.
  • Partner emails with open questions. "Are you still planning to integrate with X?" becomes a reminder to follow up.
  • Emails you sent yourself as idea parking. "Email me: add a dark mode toggle to the settings page." Forwarded. Classified as a task.
  • Newsletters or articles you want to reference later. Forward the relevant part. It becomes a reference note tagged by topic.

The MCP API is the path for when you're already inside an AI tool. From Claude, from Cursor, from ChatGPT, call the Notestream MCP tool and the current thought goes straight to Notestream. No tab switching.

Email forwarding is the third path, and it's the right one when the thought arrived by email. You don't need to copy and paste the message into the assistant field. The forward is the capture.

Assign Tasks to AI: The Dispatch Step

A forwarded email is only useful if it leads somewhere. In Notestream, "somewhere" is your AI stack.

  • The customer feature request: you send it to Lovable with a one-line note. "Build a quick prototype of the CSV export." Lovable iterates.
